User information for the ShoreTel/Mitel phone system

1. Shoretel/Mitel Phone System Features

1.1. Transfer your extension

You can log in to any Shoretel handset on campus using the following steps:

On an unassigned/available phone, pick up the receiver or hit the Speakerphone button, then press:

Voicemail - Ext - Password# - 7 - 3 - 1

Or if phone is assigned, press

## - Ext - Password# - 7 - 3 - 1

You will be able to hear the menu prompts as well if you get lost.

 

2. Placing Calls

2.1. Calling On Campus

To place a call on campus, simply dial the 4 digit extension you wish to call.

For example, to call the Help Desk, simply lift the handset and dial 1234.

2.2. Calling Off Campus

To place a call off campus, dial 7 + 1 + Area Code + Telephone Number you wish to call.

For example if you wish to make a tee time reservation at one of the LA Municipal Golf Courses, simply lift the handset and dial 7 + 1 + 310 + 216-2626.

2.3. Calling Internationally

To place a call outside of the country, you must dial 7 + US Country Exit Code + Destination Country Entry Code + Telephone Number you wish to call.

For example if you wish to call the Savoy Hotel in London, simply lift the handset and dial 7 + 011 + 44 + 20 7836 4343.

2.4. Conference Call

The Conference room phones are located in the HOS Conference Room and the MPR

The HOS phone is installed on the table and in most cases should be readily available for use. 

The MPR phone needs to be set up prior to use. Please follow the Tech Events Guidelines for setup. The link is http://help.bwscampus.com/index.php?pg=kb.page&id=496.

How to use the phone:

Press the button with the picture of a telephone receiver. 

Dial 7+1+ (XXX) XXX-XXXX and you will hear the the phone ring on the speakers.

3. Voicemail

3.1. Accessing Voicemail For the First Time

If this is your first time logging into the voicemail, the password is 90049. Once you enter that it will prompt you to create a new passcode. 


3.2. Check your Voicemail from On Campus

From your phone

1. Lift handset and press the Voice Mail button

2. Enter your password followed by #

 

From any phone (West Campus TA's for example)

1. Lift handset and press # # 

2. Enter your extension

3. Enter your password followed by #

 

3.3. Download Voicemail

If you wish to download copies of your voicemail files, you can do this by downloading the file attached to your email.

If for some reason you do not have a copy in your email, you can receive it once again by logging in to your Mitel Connect app and fowarding the voicemail to yourself. If you have voicemail to email set up, you should receive a copy in your inbox that you can now download. 

3.4. Listen to Voicemail from Off Campus

1. Call your direct line and wait for your greeting

2. Once you start to hear your greeting press * then # (right after each other)

3. After this you will get a prompt wanting your extension

4. Then you will get a prompt wanting your VM password

5. After these are done your VM will function as if you were in the office.

 

If you do not have a direct line, you may call 424-270-BWVM (2986) to access the VoiceMail system.



3.5. Check a different Voicemail

From any phone:

1. Lift handset and press # #

2. Enter the extension

3. Enter the password followed by #

NOTE: Pressing ## may not work for all types of phones. Alternatively you can dial x3100 to access the voicemail system.

 

3.6. Record Voicemail Greeting

Please be sure you keep your voicemail greeting up to date.

To do this, log in to your voicemail on your phone, press option 7, then option 1.

3.7. Record Your Name

In order for your name to display correctly or be announced in the dial by name directory, you must record your name.

To do this, log in to your voicemail on your phone, press option 7, then option 6.

4. Telephone Issues

4.1. Reboot your phone - IP230G

To reboot your Shoretel phone, simply remove and replace the network cable from the port on the left side on the rear of the phone:

4.2. Reboot 400 series

To reboot your Mitel phone, simply remove and replace the network cable from the port on the left side on the rear of the phone:


4.3. Reboot your phone - IP655

To reboot your Shoretel phone, simply remove and replace the network cable from the orange port on the rear of the phone:

5. Mitel Connect Software

5.1. Installation Instructions

If you see the message below when trying to install the client, you can right-click the .dmg file and choose "Open" to run the file. Alternatively, go to System Preferences --> Security & Privacy --> General and OK the app at the bottom of the window.

Note: PLEASE DO NOT UPLOAD A PICTURE TO YOUR PROFILE! There is a bug that causes issues when doing this. 















5.2. How to Place a Call

1. Start by going to the Quick Dialer Sear bar at the top or in your Recents tab (if the person has already contacted you)



2. Type the contact in the Quick Dialer Search bar or find the name in your Recents Tab

3. Click on the  to make the call 






 

5.3. Accessing Voicemail


Or Download attached File. 

*Please remember, you will need to delete your voicemails personally. To delete a voicemail, please right click on the voicemail and select Delete. 

5.4. Adding a Contact

Option 1:

Click on the recents tab. 

Right click on contact and select add as a contact


Option 2: 

Type the name of the contact in the Quick Dialer Search Bar

Click on the star on the right hand side of the contact or right click and select add to group




5.5. How to add a Cell Phone to a call group

According to KTS (as an example when creating a cell phone number for Elizabeth Stocks and added to the Mobility Group) :

(as an example) 

Create a new ext 3707 and set it up to call Elizabeth's cell. Then they added 3707 to the Mobility WG and logged it in. I changed 2707 Elizabeth's back to ring primary phone. You can test now when calling Mobility it should ring her desk and her cell.
